Privacy Policy
Last updated 23 Oct 2026
The short version
- We keep only what we need to run your meeting.
- No ads, no tracking, and we never sell your data.
- We never email the people you invite.
- Meetings are deleted 90 days after their last day.
Who we are
Kairos is a service of a company registered in England and Wales. We are the controller of your personal data.
What we collect
- Meetings: title, dates, length, time zone, and a description if the organiser writes one.
- People: the name each person enters and the hours they mark. An email address only if the organiser adds one.
- Changes: a record of who changed what and when, without addresses or devices, deleted with the meeting.
- Sign-in: if an organiser signs in, their email address, the apps they have connected (Claude, ChatGPT or another assistant), and a record of each sign-in and connection, kept 90 days. Sign-in codes are kept hashed for ten minutes.
We don't ask for your calendar, your contacts or a password.
Why we use it
Only to run the meetings you create or join. Our legal basis is legitimate interests (UK GDPR, article 6(1)(f)). We make no automated decisions about you.
Who can see it
Anyone with a meeting link can see that meeting's title, dates, names and marked hours, but never email addresses. Only the organiser's own copy of the calendar invite carries the addresses they added. Meeting pages are hidden from search engines.
How long we keep it
A meeting and everything in it is deleted 90 days after its last day. An app's connection ends 90 days after its last renewal, or when you disconnect it. Nightly backups are kept for 30 days.
Cookies
We use only the cookies Kairos needs to work: to remember who you are on a meeting, the time zone you chose, and the organiser's own meetings on their device (or, once signed in, their account). Your light or dark choice, and the calendar's weekend and after-hours switches, stay in your browser. We use no analytics or advertising cookies, and no outside scripts or fonts.
Your rights
You can ask to access, correct or delete your data, to restrict or object to its use, or to receive a copy. You can also complain to the Information Commissioner's Office at ico.org.uk.
Children
Kairos is not intended for children under 13.
Changes
We update the date above when this policy changes, and announce significant changes on our home page.
